Our Position: The Office Manager is responsible for managing the Program’s administrative office including office support, facilities, and claims liaison work.

Your Responsibilities:

– Manages the daily activities of the administrative staff to ensure timely completion of office projects, e.g., coordinating meetings.
– Assists with daily supervision of administrative staff, transportation specialist and customer service team as needed.
– Maintains petty cash.
– Records or enters data related to payroll, accounts payable, accounts receivable and time sheets.
– Responsible for purchasing of office supplies, medical supplies, equipment and other facility related purchases.
– Assist with Vendors
– Oversees contract deliverables.
– Must be a Notary
– Oversee Process Server Practice
– Responsible for overseeing vehicle maintenance and records
– Understands and adheres to RI International compliance standards as they appear in the Code of Conduct and Conflict of Interest Policies.
– Keeps abreast of all federal and state regulations and laws and all RI International polices as they presently exist and as they change or are modified.

Essential Duties and Responsibilities (Office Coordinator and Customer Service Specialist):

– Assists customer service representatives when needed, with answering telephones, triaging phone calls and gathering pertinent information from callers to accurately log the data elements of each and every call.
– Manages the daily activities of the customer service team to ensure timely completion of office projects, clerical task, and other related duties
– Maintains an organized office filing system that assures confidentiality of all documents.
– Ensures the facility reception areas are always neat and orderly.
– Oversees the use, maintenance, and repair of office equipment.
– Maintains inventory and orders office supplies as needed.
– Facilitates incoming referrals ensuring review and completeness for each referral.
– Validates all client eligibility to ensure services provided are covered contractually.
– Validates demographic/insurance information entered in to the system by staff is accurate and completed in a timely manner.
– Assists with creating and generating reports as scheduled by the funder, or when needed.

Essential Duties and Responsibilities (Claims Liaison):

– Performs data entry into the EHR system in a timely fashion to allow billing to be completed by the RCM team, such as subscriber policy IDs, diagnosis code corrections, authorization follow up, demographics, guarantor correction, etc.
– Reviews weekly error reports from RCM team. 
– Communicated Claims and Billing policy updates and/or procedural changes to staff as directed.
– Performs other related duties as assigned.

Our Requirements

– Demonstrated ability to effectively communicate both verbally and in writing.
– Excellent interpersonal skills including ability to courteous assistance in a concise, informative manner with guests, families, staff and stakeholders.
– Works collaboratively with others in a team model.
– Capable of working without direct supervision.
– Demonstrates organizational skills with a high degree of accuracy.
– Ability to maintain a high level of integrity while balancing multiple priorities and responsibilities.
– Bachelor’s Degree in business or related field or equivalent work experience.
– Minimum of five (5) years of work experience in an office, including office supervision and/or management, preferably in a healthcare environment.
– Ability to maintain a high level of confidentiality (HIPAA guidelines and regulations) and professionalism.
– We are a Second-Chance Employer – Must be able to pass a seven-year background check.
Must be able to pass substance abuse testing and/or tuberculous testing (if applicable).
Must be able to pass education verification check.
Must be able to pass three-year motor vehicle report and meet minimum eligibility requirements criteria of insurance carrier (if driving is required for this position).
